What we store
DiveWell stores what your shop puts into it, plus the minimum needed to run your account:
- Account data: your name, email address, a hashed password (never the password itself), language preference, and the terms version and timestamp you accepted at signup.
- Shop operations data: the gear registry, cylinder inspection and service records, rentals, trips and bookings, retail sales, and the customer records your shop enters (names, phone numbers, email addresses, certification levels).
- Waivers: signed waiver records and their generated PDFs, including signer and guardian names and signature dates.
- Medical screening, minimized by design: the screening stores only the form version, which screening items were flagged, and physician clearance status. It never stores a written health history or narrative, and it never stores the underlying medical details behind a flag.
Payments
Subscription payments are processed by Stripe. Your card number goes to Stripe, not to us; we store only the Stripe customer and subscription identifiers and your subscription status.
Cookies and tracking
The app sets a session cookie to keep you signed in. That is the only cookie we set. There are no third-party analytics, no advertising pixels, and no cross-site trackers on this site or in the app.
We send transactional email only: account verification, password resets, and the operational reminders and copies your shop asks for. We do not send marketing email to your customers, and we do not use their addresses for anything except the functions your shop performs in the app.
How long records are kept
The records your shop keeps in DiveWell may be compliance and liability records, so the system is preserve-first: inspection, service, waiver, and medical screening records are retained rather than silently deleted, and closing an account deactivates it while preserving its records. If you need records removed beyond that, contact us and we will address it directly, subject to legal retention obligations.
Who can see the data
Your shop's data is visible only to your shop's own staff accounts, according to the roles you assign. We do not sell data, and we do not share it with third parties except the service providers needed to run the product (payment processing, email delivery, and hosting), each used only for that function, or where the law requires disclosure.
